Good client reporting isn't about more data. It's about the right data, presented clearly, on a schedule your clients can rely on. Here's a practical checklist for small agencies building or tightening up their reporting process.
What to include
- A plain-language summary first. Lead with 2-3 sentences on what happened and why, before any charts or tables. Clients skim; give them the takeaway immediately.
- 3-5 key metrics, not 30. Sessions, conversions, ad spend, and ROAS cover most client conversations. More metrics dilute attention rather than adding value.
- What's next. Every report should end with a sentence on what you're doing based on the data. Clients care more about your next move than the numbers themselves.
- Consistent branding. Your logo, your colors, your agency's name front and center. A report that looks like it came from a third-party tool undermines the relationship you're building.
How often to report
Monthly is the standard default for most small agency-client relationships. Weekly makes sense for active campaign management phases (a launch, a major optimization push) but can create reporting fatigue if sustained long-term without a clear reason.
Common mistakes
- Burying the summary under raw data. If a client has to hunt for what matters, the report has failed at its actual job.
- Reporting on vanity metrics. Impressions and reach feel good to report but rarely connect to what the client actually cares about: leads, revenue, bookings.
- Inconsistent timing. A report that arrives on the 3rd one month and the 19th the next erodes trust in the process, even if the content itself is solid.
- No context on change. A number without a comparison (up/down vs. last period) tells a client almost nothing about whether things are going well.
Automating the process
Once your reporting format is dialed in, the manual work of pulling data from each platform, formatting it, and sending it out becomes the real bottleneck, not deciding what to report. That's the specific problem tools like PlainTrack are built to remove: consistent, branded, scheduled reports without the manual assembly each month.
